Effective date: February 26 2026

1. Who we are

Lead By Logic (“we”, “us”, “our”) provides dog training, behaviour and holistic wellness services, including applied zoopharmacognosy sessions, via our website www.leadbylogic.com (“Website”).

For the purposes of UK data protection law, we are the “data controller” of the personal data we collect via the Website and when delivering our services.

2. What this policy covers

This Privacy Policy explains how we collect, use, store, share and protect your personal data when you:

  • Visit or interact with our Website.

  • Contact us (for example by email, phone, social media or contact form).

  • Book or receive dog training, behaviour or holistic pet‑care services.

It also explains your rights under the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018.

3. Personal data we collect

We may collect and process the following categories of personal data:

  • Contact details: name, email address, phone number, postal address.

  • Booking and client information: services booked, dates, times, location (e.g. home address or training venue), payment status, communication history.

  • Dog details: your dog’s name, age, breed, health history, behaviour history, training goals and any relevant welfare or lifestyle information.

  • Technical and usage data: IP address, browser type and version, device identifiers, time zone setting, pages visited, time and date of visits, and other diagnostic and analytics data collected via cookies or similar technologies.

  • Marketing preferences: your preferences about receiving emails, updates, or newsletters.

If you choose to share it, we may also process limited special category data such as information about your health or accessibility needs (for example, when arranging home visits). We only collect this where necessary for agreed services and with your explicit consent.

4. How we collect your data

We collect personal data in the following ways:

  • Directly from you: when you contact us by email, phone, social media or via Website forms; when you book services; when you complete consultation forms or feedback questionnaires.

  • Automatically: through cookies, pixels and similar technologies when you browse our Website (see Section 9 – Cookies).

  • From third parties: for example, if you book via a third‑party scheduling or payment platform, or if another professional refers you and shares your contact details with your permission.

5. Purposes and lawful bases for processing

We only use your personal data where we have a lawful basis under UK GDPR. These are the main purposes and lawful bases:

Where we rely on consent, you can withdraw it at any time using the contact details in Section 1 or by using any unsubscribe link in our emails.

6. How we share your data

We do not sell your personal data. We may share it with:

  • Service providers (processors):

    • Website hosting and maintenance providers (including Squarespace – see Section 7).

    • Email, booking and scheduling tools.

    • Payment processors (e.g. Stripe, PayPal, bank) – we do not store your full card details ourselves.

    • Analytics and cookie providers for Website statistics and performance.

  • Professional partners (where relevant and with your knowledge):

    • Your vet or other pet professionals if you request or consent to collaborative work to support your dog’s care.

  • Legal and regulatory bodies:

    • HMRC, law‑enforcement authorities, regulators, insurers or professional advisers where required by law, in connection with legal claims, or to protect our rights.

Where we use third‑party providers, we ensure they only process your data on our instructions, under a written contract with appropriate security measures, as required by UK GDPR.

7. Squarespace and website hosting

Our Website (www.leadbylogic.com) is hosted and built on Squarespace. When you visit or interact with the site, Squarespace will process some personal data about you as part of providing its services to us.

How Squarespace processes your data

Squarespace may collect and process information such as:

  • IP address and approximate location.

  • Device and browser details.

  • Pages visited, time and date of visits, and referring URLs.

  • Certain cookie identifiers and similar tracking data.

Squarespace uses this information to:

  • Serve and display our Website to you.

  • Maintain the security and integrity of its platform.

  • Provide analytics and performance insights.

  • Improve and debug its services.

For some of this activity (for example, platform security and aggregated analytics across all Squarespace sites), Squarespace acts as an independent data controller and processes your data in line with its own Privacy Policy: https://www.squarespace.com/privacy.

For other activity (for example, storing form submissions and enabling us to receive your messages), Squarespace acts as our data processor, processing data only on our instructions under a Data Processing Addendum that includes safeguards for international transfers.

8. International transfers

Some of our service providers, including Squarespace, may be located outside the UK or process data on servers outside the UK (for example, in the EEA or US). Where personal data is transferred outside the UK, we will ensure that appropriate safeguards are in place, such as:

  • An adequacy decision by the UK government.

  • Standard Contractual Clauses or equivalent contractual protections.

  • Reliance on recognised frameworks such as the Data Privacy Framework where applicable.

You can contact us for more information about specific safeguards used for international transfers.

9. Cookies and similar technologies

Our Website may use cookies and similar technologies to:

  • Make the site work properly (essential cookies).

  • Remember your preferences (functional cookies).

  • Analyse how visitors use the site (analytics cookies).

Where required by law, we will request your consent for non‑essential cookies through a banner or pop‑up when you first visit the Website.

You can manage or disable cookies through your browser settings or through the options in our cookie banner. However, blocking certain cookies may affect how the Website functions or displays.

10. How long we keep your data

We keep personal data only for as long as reasonably necessary for the purposes for which it was collected, including to satisfy legal, accounting or reporting requirements.

Typical retention periods may include, for example:

  • Client and booking records: usually up to [6–7 years] after your last service, to comply with tax and legal obligations.

  • Enquiry emails (where you do not become a client): up to [12–24 months].

  • Marketing contact details: until you unsubscribe or we have had no interaction from you for [2–3 years].

  • Cookie and analytics data: according to the lifetimes set by our cookies and analytics tools (see your browser or cookie banner settings).

We will securely delete or anonymise data when it is no longer needed.

11. Your data protection rights

Under UK GDPR, you have several rights in relation to your personal data, subject to certain conditions and exemptions:

You can:

  • Access your personal data and receive a copy.

  • Rectify inaccurate or incomplete data.

  • Erase your data (“right to be forgotten”) in certain circumstances.

  • Restrict how we use your data in certain circumstances.

  • Object to processing based on our legitimate interests or to direct marketing.

  • Data portability – request that certain data is transferred to you or another provider in a structured, commonly used, machine‑readable format.

  • Withdraw consent where we rely on consent (for example, marketing).

To exercise any of these rights, please contact us using the details in Section 1. We may need to verify your identity before responding.

You also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO) if you are unhappy with how we handle your data: www.ico.org.uk.

12. Children’s data

Our services are aimed at adults responsible for dogs, not at children. We do not knowingly collect personal data directly from children under 13 via the Website. If you believe a child has provided us with personal data, please contact us so that we can delete it where appropriate.

13. Security of your data

We take appropriate technical and organisational measures to protect personal data from unauthorised access, loss, misuse or disclosure. These may include secure devices, passwords, access controls and, where appropriate, encryption or secure transfer methods.

However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

14. Links to other websites

Our Website may contain links to third‑party websites, social media platforms or resources. These sites have their own privacy policies, and we are not responsible for their content or privacy practices. We encourage you to read their policies before providing any personal data.

15. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, how we process data, or legal requirements.

The updated version will be posted on this page with a new “Effective date”. We encourage you to review this page regularly to stay informed about how we use your data.
